Overview
A 17-provider urology practice,
run on faxes before docology.
About
Nebraska Urology is an independent urology practice with 17 providers on NextGen. Like most specialty practices, nearly all of its incoming documents arrive by digital fax: referrals, labs, imaging, prior authorizations. Before docology, every one of them was opened, identified, and routed by hand. Today the practice runs Workflow + Intelligence: documents are titled, matched, and filed automatically, and physicians get a summary and timeline in the chart before each visit.

Challenge
Every other tool asked the practice to fit into its box.
Every AI vendor Nebraska Urology had worked with made the same ask: change how you work to fit our software. Meanwhile documents arrived by fax all day, opened and routed by hand. Sometimes a document went into the wrong patient's chart, and a provider acted on it before anyone caught it. And a physician preparing for a new patient had to pull PDFs, hunt through clinic notes, and sign in to hospital records through separate logins.
"In working with other AI vendors, we had to fit into their box. With docology, docology fits into our workflows and our practice."
Jenna Stratman
Practice Administrator
Solution
Every document titled, matched, and routed. Summaries before every visit.
Intake routing
Workflow
Every fax titled and matched to the patient's chart in NextGen, filed in one click.
Team queues
Workflow
Documents routed to triage, billing, and referral queues. The AI flags a wrong route.
Pre-visit summaries
Intelligence
A summary and timeline in the chart before the physician walks into the room.
Live after the three-phase rollout: training, suggested workflows, then earned automation. Most practices take 4 to 6 weeks.
Result
The bottlenecks diminished.
Trust:
"It gave our physicians confidence in knowing that what they were reading in the patient's chart was actually the patient's information." (Jenna Stratman, Practice Administrator)
Partnership:
"docology is more than a vendor. They're our partner. They consistently deliver patient results to the patient's chart when the provider needs them." (Megan Robinson, Clinical Director)
Physician time:
"Before docology, the process could go two to five minutes to ten to fifteen minutes... With docology, it takes about twenty seconds." (AJ Pomajzl, MD)
Testimonials
"I would recommend docology without hesitation."
"Our onboarding with docology was seamless. Honestly, it was the smoothest process that we have been through in terms of onboarding any new software or process."
Jenna Stratman
Practice Administrator
"With docology, the bottlenecks that we had previously seen in our practice have really diminished. It's automated almost everything from the clinical standpoint, and we obviously love that."
Megan Robinson
Clinical Director
"The beauty of AI is it reads everything, and I don't have time to read everything, and so it catches things I possibly would have missed."
AJ Pomajzl
MD, Urologist
